Is Outcome Proof right for an organisation my size? 

The best test is the shape of the work, not the size of the organisation: a few people delivering real change every week, a handful of funders to report to, and nobody with a spare day to learn complicated software. If that sounds familiar, Outcome Proof was designed around you. For many of our users that picture is their whole charity. For others it is one programme or service team inside a much larger organisation, with its own funders and its own reports to write. It works just as well for a team of four inside a large charity as it does for a charity of four. And there are no limits on outcomes, funders, reports or team members, so it grows with you rather than charging you more as you go.

Do funders actually accept reports made this way? 

Yes. Your reports are yours, and you decide how they look. Most funders ask you to fill in their own online portal, so you copy your report straight in. When a funder wants a document instead, you export to Word. Either way the narrative and the evidence come from the work you have captured through the year, in your own words.

Do I need any training or technical skills? 

No. There are no consultancy days, no onboarding calls and no training budget. You sign up, set up your outcomes (there are starting templates by charity type if you would like a head start), and begin capturing evidence the same afternoon. Most people are set up in under 20 minutes.

What does it cost? 

One flat price: £29 a month, with everything included. No tiered pricing, no per-user charges, no project caps and no report limits.

Do you offer any discounts? 

The price is the same for everyone: £29 a month with everything included. The one way it comes down is referrals. Refer another charity and you both save 20% a month, for as long as they stay subscribed. The discount stacks for every charity you refer, so with five referrals Outcome Proof is free. Your referral link is in your account settings once you subscribe.

Can we pay for it from a grant? 

Usually, yes. Measuring and reporting your impact is a legitimate cost, and most funders expect to see it. Many charities include a tool like Outcome Proof under monitoring and evaluation, or core costs, when they apply for a grant. At £29 a month it is small, easy to account for, and sits comfortably within what funders are used to seeing. If you are not sure, your funder will usually be happy to confirm what they will cover.

Is there a long-term contract? 

No. It is monthly rolling, so you can cancel any time. There is no lock-in either: a complete export of everything in your account is always yours to download, so leaving is easy even though we hope you will stay.

What happens after the free trial? 

Your first 14 days are free. We ask for a card when you sign up, but you are not charged until the trial ends, and you can cancel any time before then without paying anything. After that it is £29 a month for as long as you keep using it.

Can I add my whole team? 

Yes. Every plan includes unlimited team members at no extra cost, so everyone who collects evidence or helps write reports can have their own login. An activity log shows who added what, so nothing gets lost when someone is away.

How is my data kept safe, and can I get it back out? 

Your data lives on secure UK servers in a London data centre, is encrypted, and is backed up every day. You can download a complete copy of everything yourself at any time, with no need to ask. We are GDPR compliant and registered with the ICO. Our Privacy Policy sets out exactly how we handle your data, and we are always happy to answer security questions before you sign up.

What if I am switching from a spreadsheet or another tool? 

You do not need to move years of old data across to get going. Writing one outcome or a quick year-end summary is something you could do in a notebook. The hard part is doing it all year, across several funders, with the right quote or figure findable when the report is due. So the simplest start is to begin today: add your outcomes and drop in the next quote, photo or number as it arrives. By your next report it is all in one place.
